Pilot Runbook (20-40 Adult Learners)

This runbook defines execution steps for human teams. Copilot can prepare materials but cannot execute participant operations.

Ownership Boundary

  • Copilot-preparable: scripts, templates, forms, analytics schemas, report drafts.
  • Human-required: recruitment, consent handling, live facilitation, safety escalation, final interpretation.

1. Recruitment and Cohort Setup (Human Required)

  • Target sample: 20-40 adult learners.
  • Balance across experience level and availability.
  • Track demographics only as needed for evaluation and ethics policy.
  • Provide participant information sheet.
  • Obtain informed consent.
  • Administer readiness and contraindication screening for shadow pathway.
  • Route ineligible participants to non-shadow pathway alternatives.

3. Pilot Timeline (Suggested)

  • Week 0: onboarding, baseline survey, orientation.
  • Week 1-4: pathway delivery.
  • Week 5: delayed retention checks and debrief.

4. Data Capture Plan

  • Learning metrics: retrieval scores, PBA rubric scores, completion rates.
  • Engagement metrics: lesson completion latency, practice adherence, forum contributions.
  • Safety metrics: incident count by severity, time to response, escalation outcomes.
  • Experience metrics: qualitative reflections and post-pilot interviews.

5. Session Operations Checklist

  • Facilitator roster and backup coverage confirmed.
  • Safety protocol briefing completed.
  • Escalation contacts active.
  • Accessibility checks complete.
  • Session logs and incident form links available.

6. Risk Controls

  • Keep high-intensity exercises out of self-guided mode.
  • Review incident logs within 24 hours.
  • Pause pilot if repeated unresolved safety incidents occur.

7. Closeout Requirements

  • Conduct post-pilot survey and optional interviews.
  • Complete revision report template.
  • Convert recommendations into backlog issues with ownership tags.
